# Team and workspace

> Invite teammates, change roles, remove members and switch workspaces in Hive, with the guard rails that keep a workspace from locking itself out.

A **workspace** is one organisation in Hive: its members, connected tools, Business Brain, workflows, agents and billing. Everything you create in Hive belongs to exactly one workspace, and data never crosses from one workspace to another.

This page covers the day-to-day work of running a team: inviting people, giving them the right access, and removing them cleanly.

  Managing members is limited to **Owners** and **Admins**. Other roles do not see the Members screen. See [Roles and permissions](/admin/roles-and-permissions) for the full matrix.

## Where to find it

Open the workspace menu at the top of the sidebar (your workspace name or logo) and choose **Members**, or go to **Settings → User management → Members**. The same screen is reachable from the account menu at the bottom of the sidebar through **Members & roles**.

The Members screen has two tabs:

| **Members** | Everyone in the workspace, their role, and whether they are active or still invited. |
| **Roles & access** | What each role can see and do, including the highest risk tier each role may approve. |

## Invite people

    Choose **Invite people** on the Members screen. You can also start from **Invite users** in the workspace menu or **Invite your team** in the account menu.

    Type the person's work email (for example `name@company.com`) and pick an **Access level**. The access level is their role: Admin, Department lead, Operator or Analyst. Owner is not offered.

    Hive sends the invitation through its sign-in provider. The person appears in the list as **invited** until they accept and sign in.

A few rules apply to every invite:

* **You cannot invite above your own role.** An Admin cannot invite a new Owner.
* **Invitations are sent by email** from Hive's sign-in provider. If someone does not receive one, check spam filters. You can revoke a pending invite from the Members list; there is no resend button.
* **Seats follow members.** On a seat-based plan, each active member uses a seat. See [Billing and plans](/admin/billing-and-plans).

<Tip>
  Start new colleagues as **Operator** or **Analyst** and raise their role when they need it. Roles are easy to change later, and a lower role is the safest default while someone learns how Hive works.

## Change someone's role

Open the member's row on the **Members** tab and choose a new role. Changes take effect on their next request; there is nothing for them to accept. If they have Hive open, their screen updates the next time they try something their new role does not allow, return to the tab, or reload.

Hive enforces three guard rails on role changes:

1. **No self-edit.** You cannot change your own role. Ask another Owner or Admin.
2. **No escalation.** You cannot assign a role higher than the one you hold.
3. **Last-owner guard.** The last Owner of a workspace cannot be demoted. The Members screen does not offer Owner as a role, so an Owner cannot be added from there.

Hive's own record of each member's role is authoritative. Your sign-in provider identifies who someone is; Hive decides what they can do.

## Remove a member

Choose **Remove** on the member's row and confirm. Removal takes effect immediately: every request they make is refused, and an open Hive tab switches to "Your access to this workspace has ended" on their next action or when they return to it. Until then, an idle tab keeps showing what was already on screen.

What happens to their work and seat:

* **Their seat is released at the next monthly reset**, not immediately, and nothing is refunded part-way through a cycle. If you re-add the same person before the reset, they get the same seat back.
* **Their workflows, agents and schedules can be reassigned.** Admins can move a departing member's work to someone else so scheduled runs keep going.
* **Private items stay private.** Hive does not hand a removed member's private chats or items to anyone automatically.

<Warning>
  You cannot remove the last Owner. The error reads "Cannot remove the last owner — assign another owner first". The Members screen does not offer Owner as a role, so you cannot add a second Owner from there.

If a member is removed and later invited again, an administrator may need to approve their membership before they can sign back in. They will see "Waiting for an administrator" until that happens.

## Workspaces

### Switch or create a workspace

People can belong to more than one workspace — for example a firm and a client group. Open the workspace menu and choose **Switch workspace** to move between them, or **New workspace** to create one. A new workspace starts empty, with you as its Owner, and begins its own [trial](/admin/trial-and-payments).

### Name, logo and branding

Owners and Admins can change the workspace name and logo in **Settings → Workspace → General** and **Branding**. Sidebar shortcuts for the whole team live in **Sidebar links**.

### Turn products on or off

Admins can switch optional products — **Agents**, **Workflows** and the **Business Brain** — on or off for the workspace, and limit a product to **Selected members and groups** instead of **Everyone in this workspace**. Changing who can use a product does not grant anyone an organisation role or access to someone else's private items. See [Workspace settings](/admin/workspace-settings).

## Sharing and privacy inside a workspace

Hive is private by default. What you create — chats, workflows, agents, Library files — is yours until you share it.

* **Sharing is person to person** within the same workspace. There are no public "anyone with the link" shares for private items.
* **Owners and Admins can read** shared workspace items for oversight, but cannot edit, run or reshare them on someone's behalf. The Library has no admin read at all.
* **Sharing an agent or workflow never shares your connected accounts.** When a teammate runs something you shared, it runs with *their* accounts.

## Frequently asked

    Not yet. The Department lead role is described in terms of departments, but Hive does not yet record which departments a member belongs to, so the invite dialog asks only for the access level.

    Only Owners and Admins can manage members and billing. Other roles see a read-only view or no entry at all.
