# AI for sales teams: keep deals moving and renewals on time

> How sales and account teams use Hive with HubSpot, Salesforce, Gmail and Outlook to spot stalled deals, prepare renewals and research prospects, with approvals on every send.

Deals rarely die in a meeting. They die in the week nobody followed up. Hive watches your CRM and inboxes for deals that need attention, prospects who have gone quiet, and renewals coming up. It prepares the follow-up and waits for you to approve it.

## The problems Hive solves

* **Deals stall in a stage** and nobody notices until the forecast call.
* **Follow-ups slip** when a rep is busy, so the prospect goes quiet.
* **Renewals sneak up** without a note, a check-in or a plan.
* **Research takes hours** before a first call.
* **The CRM drifts** from reality because updating it is nobody's favourite job.

## What Hive catches

  The HubSpot deal signal covers your **default pipeline** only; custom pipelines are not watched yet. It is switched on per workspace, so ask [support](/help/support) if you'd like it. Mail signals work as soon as you connect Gmail or Outlook.

If your proposal tool can call a webhook (directly or through Zapier or Make), Hive can receive `proposal.created`, `proposal.won` and `client.created` events. See [Incoming webhooks](/integrations/incoming-webhooks).

## Renewals, prepared 12 weeks ahead

The **Renewal Scout** template runs every Monday at 09:00:

Hive saves the notes as Outlook drafts, so account managers review and send them. Add a **Condition** to route large renewals to a senior account manager, or a **Create PDF** step for an account summary. See [Workflow templates](/workflows/templates).

## Research before the call

**Website Summariser** takes a company name and website from a short form, researches the site with web search, and creates an Outlook draft of the summary addressed to the email given in **Send the recap to**. Build on it with an agent in [Agent Studio](/agents/agent-studio) that knows your ideal customer profile and writes briefs in your format.

## Keep the CRM honest

With HubSpot connected and its autonomy raised to **Draft**, Hive can propose CRM updates for approval:

* move a deal to the next stage, or update its details;
* create or update contacts and companies;
* add a note summarising a call or email thread.

Salesforce can propose contact, opportunity and task changes in the same way. Every change goes through the approval gate and is recorded in the [audit log](/approvals/audit-log).

## Ask Hive about your pipeline

* *Which deals over £20k haven't moved stage in three weeks?*
* *Summarise my last conversation with Acme and suggest a next step.*
* *Who owns the Globex deal, and who are the contacts on it?*
* *List renewals in the next 60 days and which ones have had no contact this quarter.*
* *Research northwind.example and tell me what they sell and who they sell to.*

## Guardrails for customer-facing work

* **Nothing reaches a customer without approval.** External messages are at least blast-radius B2, and sending from a connected Gmail or Outlook mailbox is B4, which always needs approval.
* **Your mailbox stays yours.** Each rep connects their own Gmail or Outlook. Sharing a workflow or agent never shares your accounts.
* **Drafts first.** Templates such as Renewal Scout create drafts rather than sending.
