Your files hold policies, client records, templates and the history behind every decision. Connect your file stores and Hive indexes them into its knowledge base — respecting who can see what — so Ask can answer from them and cite the exact document.
Every change to a file is prepared by Hive and waits for human approval.

How file sync works

Google Drive, OneDrive, SharePoint Online and Dropbox sync into Hive’s knowledge base:
  • The first run is a full scan; after that Hive syncs only what changed, on its hourly loop.
  • Permissions come with the files. Each document keeps its access list, so Ask only answers a person from files that person can open.
  • Deleted files are removed. When a file is deleted at the source, Hive marks it deleted and stops using it.
In Ask, choose the Business Brain tool and the Client files or Policies & templates scope to search your documents. See Tools and modes.

Files you create in Hive

Documents that Hive creates itself — PDFs from a workflow’s Create PDF step, images from Generate image, and Word, PowerPoint or Excel files from Ask — are saved to your Hive Library. See Library. From Ask’s document editor, Save to drive can also put a document into a folder in Google Docs or OneDrive; like every other file change, it waits for approval.

Ideas

  • “What does our engagement letter template say about fee increases?” — answered from your Drive, with the document cited.
  • A workflow that appends each new client from a form to a tracking spreadsheet.
  • Ask Hive to draft a board summary as a Word document from last quarter’s files.
